1. Agreement to Terms
Welcome to Arbuckle Nutrition PLLC. These Terms of Service ("Terms") govern your use of this website and the nutrition services provided by Carolyn Arbuckle, RD, LD, CDN ("we," "us," or "our"). By accessing this website, booking a service, or working with us, you agree to these Terms. If you do not agree, please do not use this website or our services.
2. Nutrition Services & Scope of Practice
Arbuckle Nutrition provides individualized nutrition counseling and medical nutrition therapy delivered virtually (telehealth) to clients located in New York State. Our services are provided by a Registered Dietitian and are intended to support your health and nutrition goals.
Our services are not a substitute for medical care, diagnosis, or treatment from your physician or other qualified healthcare provider. We do not diagnose or treat medical conditions, prescribe medication, or provide emergency services. Always consult your physician before making significant changes to your diet, physical activity, or health regimen, and never disregard professional medical advice because of information provided through our services.
If you are experiencing a medical emergency, call 911 or go to your nearest emergency room immediately.
3. No Guarantee of Results
Nutrition outcomes vary from person to person and depend on many factors outside our control, including your individual health, adherence, and circumstances. We make no guarantees regarding specific results. Any information provided is for educational and informational purposes to support—not replace—your own decisions about your health.
4. Eligibility
You must be located in New York State and, if under 18, have the involvement and consent of a parent or legal guardian to use our services. By using our services, you represent that the information you provide is accurate and complete.
5. Appointments, Payment & Cancellations
Services are currently offered on an out-of-pocket basis. Current rates: 60-minute initial session $180; 45-minute follow-up $135. Payment is due at the time of booking.
Card on File
You authorize Arbuckle Nutrition PLLC to securely store your payment method and charge it for balances owed [including any cancellation fees], in accordance with applicable laws and payment policies. You'll be notified before any charge whenever possible.
Financial Hardship
I understand unexpected expenses happen. Hardship accommodations — like a payment plan or adjusted balance — may be considered case by case, and documentation may be requested. These aren't guaranteed and are reviewed individually to keep things fair and compliant.
Your appointment time is reserved just for you. These policies help me respect both your time and the care of every client I see — clear, consistent boundaries are what let me provide reliable, high-quality support.
Cancellations & Rescheduling
I ask for at least 48 hours' notice to cancel or reschedule. Cancellations with less than 48 hours' notice are subject to a fee:
Within 48 hours of your appointment — $50
Same-day cancellation — $100
No-call/no-show — $150 (or the full self-pay follow-up rate)
One courtesy waiver: Life happens. Each client gets one late-cancellation waiver per calendar year. It applies to cancellations made with some notice — not to repeat cancellations or no-shows.
No-Shows
A no-show means missing an appointment without letting me know in advance, or canceling after the start time. After a no-show, the applicable fee applies, and any upcoming appointments may be paused until you reach out to confirm you'd like to continue. After two no-shows or late cancellations, I may need to close out our work together, at my discretion.
Late Arrivals
More than 10 minutes late: your session may be shortened to stay on schedule.
More than 15 minutes late: it may be treated as a late cancellation and subject to the fee.
Full session fees apply regardless of a late start.
A Few Scheduling Notes
Rescheduling grace: If you cancel within 48 hours but can rebook within the same week, I may waive the fee, depending on availability.
Monday appointments: To meet the 48-hour window, please cancel by the preceding Friday — weekend messages don't meet the notice requirement.
Emergencies: True emergencies are always considered case by case. Frequent "emergencies," though, will be treated as repeated late cancellations.

6. Telehealth
Services are delivered via telehealth using [platform / Practice Better]. You are responsible for having a reliable internet connection and a private, appropriate environment for your sessions. A separate telehealth consent may be required before your first appointment.
7. Client Responsibilities
You agree to provide accurate health information, communicate openly about your history and any changes, and follow up with your medical providers as appropriate. You understand that the quality of care depends in part on the accuracy and completeness of the information you share.
8. Confidentiality & Privacy
Your privacy matters to us. Our collection and use of your information is described in our Privacy Policy. Protected health information is handled in accordance with applicable law, including HIPAA where applicable.
9. Intellectual Property
All content on this website — including text, graphics, logos, resources, and materials — is the property of Arbuckle Nutrition PLLC and may not be copied, reproduced, or distributed without written permission. Any resources or materials provided to you are for your personal use only.
10. Third-Party Links & Tools
This website may link to or integrate third-party services (such as scheduling or payment tools). We are not responsible for the content, practices, or policies of third-party websites or services.
11. Limitation of Liability
To the fullest extent permitted by law, Arbuckle Nutrition PLLC, Carolyn Arbuckle, and its representatives shall not be liable for any indirect, incidental, or consequential damages arising from your use of this website or our services. Our total liability shall not exceed the amount you paid for the specific service at issue.
12. Changes to These Terms
We may update these Terms from time to time. Changes are effective when posted to this page with an updated "Last updated" date. Your continued use of the website or services constitutes acceptance of the revised Terms.
13. Governing Law
These Terms are governed by the laws of the State of New York, without regard to its conflict-of-law principles.
